Reports

ACCELERO offers several reports that can be used to obtain information in a consistent, fast, and accurate way.

General Characteristics

Access Control

Required Permissions

Access to each report depends on a specific permission, precisely so that the resource can be used securely.

Report permissions are configured in access Profiles.

Full Audit

Tracking

All issued reports, and all settings used when issuing a report, are recorded in the system's operation log.

This ensures full traceability:

  • Who issued the report
  • When it was issued
  • Which filters were applied
  • Which data was queried

Available Formats

All reports can be generated on screen (ready for printing), and most can be exported to a CSV file.

Formats:

  • On-screen view: Formatted for direct printing
  • CSV export: For analysis in spreadsheets (Excel, Google Sheets, etc.)
  • PDF: Some reports (through the browser's print function)

See Cold Room for more details.

Report History

The system keeps a history of all generated reports. You can perform a bulk deletion of reports from the history, making management and organization easier.

Report Templates

Report issuance settings can be saved as templates and retrieved later to facilitate new issuances in the future.

Template Advantages

Time savings:

  • Avoids reconfiguring filters repeatedly
  • Facilitates issuance of recurring reports

Error reduction:

  • Ensures consistency in settings
  • Especially useful for comparing historical data ("yesterday and today")

Standardization:

  • Creates organizational standards
  • Facilitates training of new operators

How to Create a Template

  1. Configure the report with the desired filters
  2. On the Report tab, click the Create template button
  3. Enter a descriptive title
  4. Add a description (optional, but recommended)
  5. Configure which operators will have access:
    • Private (only you)
    • Shared (specific operators)
    • Public (all operators)
  6. Save the template

How to Use a Template

  1. Go to the Templates tab
  2. Identify the desired template in the table
  3. Click the Load template button on the corresponding row
  4. The report will be configured automatically
  5. Adjust filters if necessary (e.g., dates)
  6. Generate the report

Template Management

Editing:

  • Title and description can be edited
  • Access permissions can be changed
  • Report settings can be updated

Deletion:

  • Templates no longer needed can be deleted
  • Only the creator or administrators can delete

Sharing:

  • Private templates: Visible only to the creator
  • Shared templates: Visible to selected operators
  • Public templates: Visible to everyone

Best Practices

1. Use Templates for Recurring Reports

Create templates for reports you issue regularly:

  • Daily access report
  • Weekly visitor report
  • Monthly presence report

2. Name Templates Clearly

Use descriptive names that identify:

  • What the report shows
  • For which period
  • Which filters are applied

Examples:

  • "Access - Last 7 days - All controllers"
  • "Visitors - Current month - By company"
  • "Occupancy - Production areas - Real time"

3. Document in the Description Field

Use the description field to explain:

  • Purpose of the template
  • When it should be used
  • Important notes

4. Set Appropriate Permissions

  • Sensitive templates: Keep private or shared only with managers
  • Operational templates: Make them public to facilitate the team's work
  • Audit templates: Share only with the compliance area

5. Review Templates Periodically

  • Delete obsolete templates
  • Update filters as needed
  • Reorganize permissions when responsibilities change

6. Export for Detailed Analysis

  • Use CSV for complex analyses in spreadsheets
  • Create charts and pivot tables
  • Combine data from multiple reports

7. Respect Privacy

  • Access only reports needed for your role
  • Do not improperly share sensitive data
  • Follow the organization's LGPD/privacy policies

Usage Example: Monthly Presence Report

Objective: Generate a monthly employee presence report for HR

Step by Step:

  1. Select the report: Area Presence

  2. Configure filters:

    • Period: First to last day of the previous month
    • Areas: Production areas (exclude parking, cafeteria)
    • Categories: EMPLOYEES
  3. Generate the report and review the data

  4. Create a template:

    • Title: "HR - Monthly Employee Presence"
    • Description: "Monthly employee presence report for production areas. Adjust dates manually each month."
    • Sharing: HR operators
  5. Following months:

    • Load the template
    • Adjust only the dates
    • Generate and export

Next Steps

  • Profiles - Configure access permissions to reports
  • Operators - Manage which operators can issue reports
  • People - Data that appears in the reports
  • Events - Visitor and event reports
