Telegram Integration

Native integration with Telegram for self-service and convenience functions.

Concept​

The integration allows authorized people to access ACCELERO functions directly through the Telegram application:

  • Generate visit invitations
  • Generate personal QRCodes
  • Manage events
  • Recurring visitors
No Configuration

The integration is native and does not require special system configurations.

How It Works​

People registered in ACCELERO can use the ACCELERO BOT on Telegram to perform actions completely autonomously.

Accelero Bot​

What it is:

  • Official ACCELERO bot on Telegram
  • Conversational interface
  • Simple commands
  • Automatic responses

How to find it:

  • Contact IONGRADE technical support
  • They will provide the correct bot name for your installation

Access Configuration​

Step 1: Configure Username​

The person must have a username on Telegram.

How to check/create a username on Telegram:

  1. Open Telegram
  2. Go to Settings
  3. Edit profile
  4. Set a username (e.g., @joaosilva)

Step 2: Register in ACCELERO​

Path: People > All > [Select person]

Field: Telegram User

Enter the person's username (without @).

Example:

Username on Telegram: @joaosilva
Field in ACCELERO: joaosilva

Step 3: Grant Permissions​

Path: People > All > [Select person]

Field: Telegram Permissions

Available options:

Check the desired permissions.

Multiple Permissions

A person can have one or both permissions enabled.

Step 4: Start a Conversation with the Bot​

The person must:

  1. Search for the bot on Telegram
  2. Find the correct bot (provided by support)
  3. Click on "Start"
  4. The bot responds with a menu of options
Person's Initiative

The person must take the initiative to start the conversation. The system does not start conversations automatically.

After these 4 steps, the person will have access to the Telegram functions!

Available Functions​

Access the functions through the menu on Telegram (menu icon next to the message bar).

1. Generate Invitations​

Creates visit invitations through an interactive conversation.

How it works:

  1. Select "Generate invitations" in the menu
  2. The bot asks questions:
    • Visitor's name
    • Visit date
    • Event duration
  3. The person answers interactively
  4. The bot creates the visit in ACCELERO
  5. QRCode sent automatically to the visitor
  6. Everything recorded in logs

Example conversation:

Bot: What is the visitor's name?
You: Maria Silva

Bot: What is the visit date?
You: 15/03/2026

Bot: What is the duration?
You: 2 hours

Bot: ✓ Visit scheduled! QRCode sent to Maria Silva.

Benefits:

  • Total agility
  • No need to access a computer
  • The visitor receives the QRCode immediately
  • Complete auditing

2. Generate QRCodes​

Generates a temporary personal QRCode for the person themselves.

When to use:

  • Forgot the card
  • Lost identifier
  • Emergency access

How it works:

  1. Select "Generate QRCodes" in the menu
  2. The bot generates the QRCode immediately
  3. The QRCode has a short validity (security)
  4. Invalidates any previous QRCode
  5. Present the QRCode at the reader

Characteristics:

  • Short validity (e.g., 30 minutes)
  • Single or limited use
  • Invalidates the person's previous QRCodes
  • Logs record the generation
Security

Short validity prevents misuse of the QRCode. Use it only when necessary.

3. Manage Events​

Creates special events (parties, meetings) with individualized invitations.

Functionality:

  1. Select "Manage events" in the menu
  2. Create an event (party, meeting, etc.)
  3. The bot generates individualized links
  4. Share the link with each guest
  5. The guest fills in their own data
  6. You receive a notification via Telegram
  7. Authorize or deny the invitation
  8. The guest receives a QRCode if authorized

Detailed flow:

You: Create event "Birthday Party"

Bot: Event created! Links generated:
  Link 1: https://...abc (Guest 1)
  Link 2: https://...def (Guest 2)
  ...

You: Send Link 1 to João

João: Accesses the link, fills in the data

Bot → You: João filled in the invitation. Authorize?

You: Yes, authorize

Bot → João: Invitation authorized! QRCode attached.

Benefits:

  • Each link is individualized
  • The guest fills in their own data
  • You decide whether to authorize or not
  • Full control
Unique Link

Do not share the same link with multiple people. Each guest must have their own link.

4. Recurring Visitors​

Configures recurring accesses (housekeeper, personal trainer, etc.).

When to use:

  • Housekeeper (every Tuesday and Thursday)
  • Personal trainer (Mondays, Wednesdays, Fridays)
  • Private tutor (daily)

How it works:

  1. Select "Recurring visitors" in the menu
  2. Enter the visitor's data
  3. Set the days of the week
  4. Set the times
  5. The bot creates recurring events
  6. The visitor receives a QRCode with extended validity

Example:

Bot: Visitor's name?
You: Ana Paula (housekeeper)

Bot: Which days?
You: Tuesday and Thursday

Bot: Time?
You: 08:00 to 12:00

Bot: ✓ Recurring visit created!
Ana will have access every Tuesday and Thursday, 08:00-12:00.

Category configuration:

Categories associated with the recurring visitor are defined in advance by the administrator:

Path: Advanced > System > Applications - Telegram

Field: "Event type for visits"

The administrator configures which event type (and categories) will be used for recurring visits created via Telegram.

Best Practices​

  1. Configure permissions appropriately: Not everyone needs to generate invitations

  2. Advise on temporary QRCodes: Use only when necessary

  3. One link per guest: Never share the same link with several people

  4. Train users: Teach correct use of the functions

  5. Monitor logs: Track invitations generated via Telegram

  6. Define clear rules: When to use each function

  7. Test before releasing: Validate operation with pilot users

Troubleshooting​

The bot does not respond​

Causes:

  • Wrong bot (not the bot of your installation)
  • Did not click "Start"
  • Username not configured in ACCELERO

Solution: Check the correct bot with support, start the conversation, check the record

Functions do not appear in the menu​

Cause: Permissions not enabled in ACCELERO

Solution: Enable the permissions in "Telegram Permissions" in the person record

Username not found​

Causes:

  • Incorrect username in ACCELERO
  • The person changed their username on Telegram

Solution: Check and update the username

The generated QRCode does not work​

Causes:

  • The QRCode expired (short validity)
  • The person does not have access permissions
  • Expired category

Solution: Generate a new QRCode, check permissions and categories

Security​

Access Control​

  • Only registered and authorized people
  • Granular permissions (invitations vs QRCodes)
  • Logs of all actions

Temporary QRCodes​

  • Short validity
  • Invalidates previous QRCodes
  • Reduces the risk of misuse
  • One link per person
  • Not reusable
  • Traceable

Pass Notification​

Telegram can also be used to send notifications when a pass is performed by an access controller. This allows residents or operators to receive real-time alerts about relevant movements.
